The second largest organizer of fairs and exhibitions in Central and Eastern Europe.
The company's offer includes not only fairs, but also the possibility of arranging large conferences and congresses as well as small business meetings.
The most advanced exhibition pavilion in Poland has an area of 5,355 m2, and provides a possibility to organize congresses and events for up to 4,500 participants. With such an extensive infrastructure, the company offers services at the highest level.
In order to maintain maximum efficiency, Kielce Trade Fairs decided to digitize their business processes. One of the elements of the project was an interactive configurator - a 3D stand creator, which streamlines the process of ordering services and organizing event space.
Tasks and objectives
Together with the client, we created an effective tool in which exhibitors are able to order services easily. The stand creator is designed to facilitate cooperation with contractors and to agree on all formalities related to the organization, ordering, and purchase of services in an online form.
Real-time visualization of a stand makes it easier for customers to decide, and the automatically updated price offer increases the level of trust in the provider.
The main goal of the project was to create an integrated configurator that will meet the needs of both the Customer and their contractors.

An important element during the process of ordering a service is the possibility of designing and visualizing the stand with the 3D stand creator.
The configurator allows for precise planning and visualizing the ordered exhibition space, including the possibility of indicating the place where the stand is to be located and what are its dimensions. The exhibitor, when designing a stand, has an extensive templated database at disposal, and also a module in which it is possible to individually design each exhibition element.
An additional benefit of using the configurator was the elimination of the need to print order forms and documentation of the ordered stand. The most common module in the configurator is Helpdesk.
With it, exhibitors can report problems, or a need for an additional service, e.g., cleaning or the provision of an additional chair, at any time of the event. All such requests are immediately sent to the organizer and visible in the application of the installation team member responsible for a given service, which positively affects the time of order fulfillment. The extensive configurator provides a possibility of using services offered by the organizer of Kielce Trade Fairs and partners from one place.
On the Partner's portal, the cooperating companies (e.g., hotels, restaurants, etc.) handle exhibitors' orders directly related to the trade fair event as well as transport, catering, and accommodation. The system converts all applications into a form that is constantly updated and provided to the organizers and contractors in a form of an order.
As part of the project, we also implemented an offer module which is used for negotiations and the creation of personalized. The panel dedicated to regular contractors allows for publishing offers that can be ordered by exhibitors and visitors.
Objectives for the Client

- easier design of exhibition stands and their execution by the organizer,

- more efficient ordering during the event.
